Dentsu Inc. is a Japanese international advertising and public relations joint stock company headquartered in Tokyo. It is the largest advertising agency in Japan and the fifth-largest advertising agency network in the world in terms of worldwide revenues. Dentsu is present in three cities in India – Bangalore, Mumbai and Gurugram. Considering an advertising agency, their expectations from AV solutions was very high and wanted unique solutions for their multiple spaces:  Board Room; High-end VC solution Cafeteria – Back ground Music; Town hall meetings and Digital Signage Experience Centre; Unique Video Display solutions for larger than life client experience of the presentations Pathway (Entrance); Unique Asymmetrical Active LED Solution showing Dentsu branding and works


WHAT DID THE CLIENT WANT TO ACHIEVE?

The client aims to achieve several key objectives through the proposed solutions for their Board Room, Experience Centre, Pathway, and Cafeteria:

Enhanced Communication and Collaboration
Board Room: Equip with HD displays, advanced video conferencing systems, and robust audio solutions to facilitate seamless communication among team members, both on-site and remote.
Superior Presentation Capabilities
Experience Centre: an immersive environment for cutting-edge presentations and demonstrations.
High-Quality Visual and Audio Experience
Pathway: high-resolution LED displays and premium audio equipment to provide HQ visuals and clear audio, enhancing the aesthetic appeal and creating an engaging sensory experience.
Improved User Experience and Convenience
Cafeteria: Enhance the environment with HD displays and a robust audio system.
Integrated Control Systems: Implement efficient and reliable control systems to manage AV equipment seamlessly.
By achieving these objectives, the client aims to create a modern, efficient environment for meetings, presentations, and everyday use.


SCOPE OF WORK YOUR COMPANY WAS INVOLVED IN

Our scope included SITC of the complete AV system in the below areas:

Board Room: Installing 4K UHD displays for separate viewing of presentation & remote Video along with Camera & Rally Bar system with extended microphones to provide high-quality video conferencing
Audio and Control Systems: integration of speakers and surround sound processors to ensure excellent audio and intuitive control.Lighting Control: lighting control system with both wired & wireless button panels for seamless integration with AV system
Experience Centre: Immersive Displays – video wall for giving clients a larger-than-life experience.
Pathway (Entrance): High-Resolution Asymmetrical Active LED Solution – Active LED displays with custom-built structures for an aesthetic and functional setup.
Control and Connectivity: transmitters and receivers ensured seamless connectivity, while structured cabling was done to maintain a clean installation.
Cafeteria: Versatile AV Setup—laser projector with a motorized projection screen for flexible use. Displays need to be installed for digital signage and menu boards, along with Wireless Microphones, a Digital Mixer, Column array speakers, and subwoofers for high-quality town hall meetings.


WHAT KEY CHALLENGES WERE FACED?

When we were given the site for installation, all interior works were almost completed. Coordinating with the client and other agencies to get cabling done and then installing equipment in the field without damaging anything was a big challenge. Also, since we were awarded the work much later, arranging all equipment at short notice with a tight deadline to complete the project also became a huge challenge.


HOW WERE THOSE CHALLENGES RESOLVED?

Our team visited the site along with other third-party services vendors and precisely marked cuttings, conduits, IT points, etc, needed from other vendors. We also created a dependency chart with timelines to complete all works area-wise. This gave us better clarity on when we needed the equipment, and we also planned the deployment of teams for various areas to meet the deadlines. Our project manager then closely stayed and followed up on the dependency chart at the site and ensured work was done meticulously to avoid damage and reworks. Prior written approvals were taken from the client before doing any work to avoid confusion later
We also took proactive action in preparing detailed drawings and got approval from the consultant, who was very supportive throughout the project.
Our purchase team reached out to all OEMs/suppliers on the same day of receiving order confirmation and prepared a delivery schedule chart within 2 days, which helped our teams at the site plan things better. For certain equipment with long delivery timelines, we worked on standby arrangements to not hamper operations and make the system functional.


HOW HAS YOUR WORK HELPED THE CLIENT?

With the AV systems deployed in their Experience Centre and Entrance area, it would help the Dentsu team to showcase their work and ability to their clients in a more effective and unique way and eventually would help them build more confidence in their customers for further growth. In their board room, it will also help them conduct their VC meetings seamlessly with no effort. AV system deployed in the cafeteria would also help them give a great experience to their own internal teams.
